Tip 2: Use the
CTRL + T shortcut key to jump to a blank Tenant File (or the last
Tenant File you were viewing).
This feature can be used from anywhere in the system to jump back
to the last Tenant File that you looked at. When first logging
on, the system brings you to a blank screen. Whether the screen
is blank, or the wrong tenant is being displayed, simply type
in the building number and Unit that you are looking for. You
will jump to the proper record without the need to use the mouse
or scroll through drop down menus.
Find a Tenant’s Deposit
that was Applied Incorrectly
This tip can really save you time the next time a tenant calls
up to find out why their cancelled check wasn’t applied to their
account. In a case like this, somebody at the management office
must have applied a check to the incorrect tenant’s account while
performing cash receipts (you know this because the tenant actually
has a copy of the cancelled check, but it isn’t being reflected
in their account). The problem is, the check could have been applied
to any tenant in any one of your multiple buildings.
Tip: From the
Menu Bar at the top of the screen, click Other Tasks > Find
Tenant’s Deposit.
You are now brought to the screen
below. Type in as much information as you know about the check
that you are looking for, and click the Go button. The more information
you know the better. However, you can find a deposit amount by
knowing only the total amount of the check and a range of dates
to search within. The system displays all checks entered into
the system matching the specified criteria. Therefore, one of
the displayed checks must have been entered to the wrong tenant’s
account in error.
Integrate Bank Reconciliations
with Online Banking
Did you know that MDS Explorer’s Bank Rec program can be set up
to automatically check off items that have cleared on your electronic
bank statements? For anyone that spends a significant amount of
time keying off Bank Recs, this can be a great time saver. In
the case of a discrepancy between your book balance and the bank
balance, the system automatically gives you an exception report
so that the user can quickly track down the reason for the difference.
Bank Rec’s can now be completed accurately in a fraction of the
time it takes to key off individual items.

Creating Building Templates
Do you find yourself selecting the same template of buildings
over and over again from the Multiple Buildings selection screen
(see below)? If so, learning to Create Building Templates is a
feature that will not only save you time, but ensure accuracy
when selecting a group of buildings. For example, this feature
can be used to create templates for geographic areas or work assignments/responsibilities.
TIP: To create
a template, select the buildings that you would like to include.
Next, instead of clicking the Done button, click File > Save
Template As. Enter the template name and description in the appropriate
boxes and click done.
From now on, instead of selecting
these buildings one by one, you can click File > Open Template
from the Multiple Buildings Selection screen. After choosing the
template you would like to work with, the buildings are automatically
selected.
